With the Vista-Suite Enterprise mobile app, technicians can capture and upload photos in real time from iOS or Android devices. Images taken on the floor or in the field are linked to the relevant work order or task. This reduces the need for manual transfers and keeps visual records available to the team as soon as they are captured.

With Vista-Suite Enterprise, core work order mechanic functions are available directly from your mobile device. Whether on iOS or Android, technicians, inspectors, and production staff can perform the same tasks in the field as they would at a workstation. From browsing and updating work orders to completing checklists, capturing photos, logging labor, creating squawks (non-routines), recording notes, reviewing attached manuals, and executing digital sign-offs designed to align with FAA AC 120-78B guidance, the mobile app keeps every step of the process connected. This means that work progresses smoothly no matter where the job is being done, while providing management with real-time visibility into task status, labor entries, material usage, and more.

Files and images can be added directly to a worker's notes. If using a mobile device, the technician can take a photo at the time of writing the notes to quickly add it to the notes.

When viewing a Work Order on a tablet, simply tap the Vista-Suite Enterprise logo to invoke the tablet camera to scan the QR code of an order and retrieve it for display on the tablet.

Work Order Workflow and System Navigation

Create unlimited user-defined fields on both work order headers and individual tasks. These fields can capture any data specific to company processes, customer requirements, or regulatory needs. By tailoring records with custom fields, you can be confident that critical information is always stored in the system without relying on external spreadsheets or manual notes.

Using the pinned notes structure, the work order has the ability to categorize critical data input by mechanics, production controllers, or other staff inside the work order header and task areas, allowing you to create your own structure to house the data.

Vista-Suite Enterprise offers multiple entry points for creating work orders. Jobs can be generated directly from a customer quote once approved, launched from Logistics Order Receipts, or create the work order first, then receive the inventory from the customer or allocate it from stock. Each method carries forward the relevant data into the work order, reducing duplicate entry and keeping records connected across the system.

A notes section is available specifically for customer-facing communication. These notes, entered on the work order, are separated from internal or technician notes and can be included on documents shared with the customer, such as estimates or invoices. This separation allows teams to manage professional, outward-facing notes while keeping internal comments private within the system.

Work orders can be defined as components or end items, and each work type within those categories will invoke different behavior within the work order system to accommodate that particular business function. For example, a component kit work order will provide features and functions applicable to building kits. Whereas a work order type provides all functions applicable to a full job. This flexibility lets you accomplish many business functions with the same tool to keep things simpler and easier to adopt.

Work Orders, Tasks, Job Cards, Log Book Entries, and Checklists can all have worker sign-offs in digital form. Some areas can require an inspector's signature or just a worker's signature. Digital sign-off workflows are designed to align with FAA AC 120-78B guidance when your repair station is authorized for digital recordkeeping.

The work order header tracks the overall job status, while each task within the order carries its own status to reflect its real-time progress. Vista-Suite Enterprise allows users to create purchase orders directly from within a work order. When parts or services are identified as required during task execution, they can be added to the Bill of Materials and converted into purchase orders without leaving the work order screen. This link between work orders and purchasing helps needed materials get sourced quickly, reduces duplicate entry, and keeps procurement aligned with job requirements.

A row of signal icons accompanies each sales order line item, so you don't have to waste valuable time searching to know the disposition of tasks, items, checklists, job status, labor recording, bill of materials, and many more. Based on signal icons, you can quickly identify customer property, warranty work, sign-off status, task completion, technical manual expiry, existence of linked orders, and over a dozen more, all without opening layers of menus to understand the full picture.

Items such as test stands, specialty tools, or ground support equipment can be listed with the job, making them visible to technicians and production staff as they plan and perform tasks. This keeps equipment needs tied to the overall job record, reducing scheduling conflicts and helping ensure the right resources are available when work begins.

Main components listed on a customer's Work Order can be converted to a core on a sales exchange for the same customer, and seamlessly apply core costs from the unit being sold on exchange.

Billing, BOM, WIP

Charges such as freight, special handling, or outside service fees are recorded directly to a work order, keeping unplanned costs visible in the Work in Progress (WIP) log and included in final billing. This is so all expenses tied to the job are captured alongside labor and materials.

Technical manuals can be linked directly to individual Bill of Materials items. When a part is listed on a BOM, the associated manual or reference document can be referenced from the job header and/or from the master part record, giving technicians quick access to the exact instructions or specifications for that component. This connection keeps documentation aligned with the parts being used, removed, or inspected so the information is always at the fingertips of the mechanic.

Materials, ad hoc charges, and labor can be recorded directly at the work order header instead of requiring a task. Technicians can clock time by scanning the work order QR code, production staff can add BOM line items straight from the WO header, and charges such as freight or handling can be entered without creating a supporting task. These entries flow into the WIP log alongside task-level data, giving a complete cost picture while reducing unnecessary task setup.

Vista-Suite Enterprise makes it simple to record unplanned costs that arise during a job. Users can add ad hoc charges directly to a work order, covering items such as freight, special handling, or unexpected services. These charges are applied to the work order record so that expenses are captured and reflected in billing and profitability tracking.

Centralized work areas are provided to manage Bill of Materials movements in bulk. Instead of updating stock line by line, users can process large groups of parts as “stock on” when allocated and “stock off” when turned into inventory from the job. This central handling streamlines BOM activity for high-volume work orders, reducing repetitive entry while maintaining full inventory accuracy.

Easily bill Work Orders in whole or in part while the job is in progress or upon completion. Work screens and prompts will alert you to WIP balances remaining on the job, and Work Order turn-in wizards guide you through the completion process.

Vista-Suite Enterprise can generate sub work orders for components removed on the Bill of Materials. Instead of opening each BOM line and creating work orders individually, users launch required sub work orders in a single action. Each sub WO inherits part details, quantities, and links back to the parent job, streamlining setup and keeping traceability across component repair.

Vista-Suite Enterprise Work Orders can accommodate unusual business transactions by switching between billing and non-billing scenarios without complicated work order manipulation.

Parts that are allocated and issued to a job - or consumed - are identified as Stock On activities, while units that must be removed from work order main components are identified as Stock Off inventory. Each group has independent quantities, conditions, and signals for tracking the progress of inventory issued to the bill of material, or units removed from the higher assembly.

More than 40 dedicated fields are provided on each Bill of Materials line, allowing detailed control of parts and materials within a work order. These fields cover information such as part numbers, serials, quantities, pricing, condition codes, allocations, vendor references, and status updates. With these broad options, the Bill of Materials (BOM) can be configured to accommodate a variety of 145 repair stations, or Aircraft Maintenance operations.

Vista-Suite Enterprise offers multiple ways to quote parts for repair on work orders. Simple repair quotes from the customer quote module can be converted to work orders or to receiving events and then to work orders. Or, for more complex quoting (such as teardown and inspections), quotes can be created from the work order and transitioned to the customer quote or printed directly in the work order. Convenient historical references link all customer quotes back to the job for easy reference.

Pricing estimates can be entered directly on individual tasks. Labor hours, part costs, and other charges can be forecasted at the task level, creating a detailed cost estimate within the work order before work begins. These task-level estimates roll up into the overall job, giving both production and sales teams a clear picture of projected costs and pricing for customer approval or internal planning

Vista-Suite Enterprise Sub-Work Order Wizard allows a user to create a large number of sub-work orders from removed BOMs in moments and apply templates to each sub-work order and print paperwork all at once.

Parts removed during teardown are recorded against the BOM, while required replacements are added and issued directly from inventory. Each BOM line carries details such as part number, serial, condition, and allocation status, allowing production teams to manage removed items and issued parts in one structured record tied to the job.

Vista-Suite Enterprise records increases or decreases of cost associated with a work order in the Work in Progress (WIP) log, including labor, materials, outside services, and charges. As a job progresses, these entries are recorded in real time, giving a clearer picture of job cost. By tracking each addition or subtraction of cost associated with the job, teams get a granular audit log of job cost activity.

Labor Recording

Quickly view who is tracking time, on which task, and for how long on a dedicated kanban board. This helps you monitor active labor in real time and coordinate workload across the shop.

Technicians can capture labor by manually entering time after a task is complete or by clocking in and out in real time directly from the mobile app. By scanning a work order QR code or selecting the task on their device, labor entries are instantly linked to the correct job for accurate tracking without paperwork. This approach supports both shop and field environments, reduces missed time entries, and provides management with live visibility into labor costs and job progress.

Planners are able to enter estimated labor hours and projected costs directly on each task. These planning values provide a baseline for scheduling and budgeting, helping production teams forecast workload and compare estimated costs against actuals once the task is complete. Task-level planning data rolls up to the overall work order, supporting accurate job quoting and resource management.

This system-wide log shows every technician’s time across all jobs, making it easy to review hours by worker, job, or date without opening each individual work order.

Repairs

Non-routine tasks can be launched from task squawks (discrepancies) with a single click. Non-routine tasks created are referenced back to the originating task, and signals provide clear indicators of the non-routine disposition.

Discrepancies found during inspections or task execution are highlighted using escalation indicators. When a squawk is recorded against a task, the system flags it visually within the work order and can generate a linked non-routine task tied back to the original squawk. These indicators provide immediate visibility of unresolved issues, keeping defects from being overlooked and showing their progression from initial finding through corrective action.

Parts removed from a work order on the Bill of Materials can be sent out on third-party repair orders. When a component is flagged for outside service during teardown or inspection, users can update the BOM line and issue a Repair Order directly from the system. The part, its serial details, and associated documentation can flow into the new RO, linking it back to the originating work order for traceability. This keeps repairable components moving to vendors without manual re-entry and maintains visibility of their status until return.

Easily flag work order tasks that require customer authorization before work can continue. During task creation or when documenting a discrepancy, squawk, or non-routine, users can set the Customer Approval Required field. The task is then tracked with an approval status such as Pending, Approved, Denied or Deferred. The dedicated customer comment field and the approved by field allow you to track any special instructions from the customer and the name of the person approving the repair on your customer's behalf.

Main components on Work Orders can be sent to outside vendors (OSV), and you can track the vendor repair costs in the Work Order WIP upon receipt. The system also allows work to continue on the job while the main component is on repair.

Maintenance

Specify the configuration of the aircraft you are working on by indicating the number of engines, propellers, landing gear, and APU installed on the aircraft. Doing so will provide the ability for logbook entries for each end item, the job as a whole, or even individual tasks.

Structured fields are provided on every work order task to capture Category, ATA Chapter, Position, and Panel details. These fields allow tasks to be classified by maintenance category, aligned to standard ATA codes, and tied to exact aircraft positions or panels. By recording this information at the task level, you can manage your repair activity in a more efficient manner.

Structured logbook entry functions are tied to completed work. Users can generate logbook records not only at the overall job level but also for specific assets such as aircraft, engines, landing gear, and auxiliary power units or even specific tasks. These entries capture sign-offs designed to align with FAA AC 120-78B guidance and store them as part of the permanent work order record.

Log book entries can be made against the whole work order, installed aircraft main items, or tasks. Log book entries can be predefined with a convenient lookup table, factory document templates can be used to print on paper or labels, and can be modified with the forms designer if desired.

Capture key configuration details of an aircraft within the work order record by logging information such as the number of engines, propellers, landing gear assemblies, and auxiliary power units (APU). Record make, model, registration, serial numbers, times, cycles, and even HOBBS meter reading. These configuration fields keep critical asset data tied to the job, supporting accurate maintenance tracking and documentation while linking component activity back to the primary components.

Kitting and Lite Manufacturing

Work Order main components can have part number and serial number modifications to be applied upon job completion, and are easily visible in the main component browse, with the pre- and post-information clearly displayed.

Connect kit templates directly to master part records, allowing users to review predefined kits associated with a specific part. From the master record, the related kit structure (containing required components, quantities, and references) can be viewed without opening a work order. This linkage gives visibility into standard kit material lists at the part level and streamlines job setup when those parts are used.

Tasks and Checklists

Vista-Suite Enterprise lets supervisors assign work order tasks directly to one or several technicians. Each assignment is tracked within the system for clear accountability when tasks are given to a single worker or shared across a team. This flexibility supports efficient workload distribution and provides visibility into who is responsible for each step of the job.

Checklists in Vista-Suite Enterprise help teams move checklist work out of spreadsheets or Word documents. This tool lets you build many checklists to manage a variety of functions with checklist options such as numeric fields, list fields, boolean fields, and text fields.

Each task can hold labor entries, notes, BOM lines, pricing estimates, planning hours, and linked manuals, creating a complete record of the activity. Tasks progress through stages you define with statuses and can be assigned to individual or multiple workers, giving structure and traceability to every step of the job.

Add structured notes at the task level to capture different types of information, organized under custom categories. Users can enter Internal Notes for team communication, Work Notes for process updates, or Squawks to document defects and discrepancies. Each note type is pinned and categorized, making it easy to distinguish between technical findings, workflow details, and private internal remarks.

Documentation, Forms, and Reports

From FAA 8130 and EASA Form 1 to other essential documents, forms are generated directly from the system using job data, reducing duplicate entry while supporting regulatory documentation workflows.

Vista-Suite Enterprise allows users to attach JPG images directly to specific work order tasks, linking visual evidence to detailed task records. These images can then be embedded into system-generated documentation.

FAA AC 120-78B Digital Recordkeeping and Digital File Management

Vista-Suite Enterprise centralizes all file attachments related to a work order by storing them in one location within the job record. Documents such as regulatory forms, vendor certifications, images, and customer correspondence can be uploaded and accessed directly from the header or task level. Send emails directly from a work order while attaching related files stored in the system file library or a specific job file folder. Documents such as quotes, work order paperwork, certifications, or images can be selected from the attachments tab and included in outgoing messages without leaving the application.

Electronic copies of required technical manuals can be stored directly within the system. Manuals can be attached to work orders and then associated with bill of material (BOM) items, giving technicians immediate access to current documentation while they perform maintenance.

Vista-Suite has been designed to conform to the standards as outlined by the FAA for digital signatures and recordkeeping. Signatures are stored by a personal pin established by each user with signing authority. Users can be identified as a mechanic signing authority or an inspector signing authority.

Lock file attachments on a work order to protect critical documents from being removed. Once locked, items such as regulatory forms, certifications, images, or customer approvals remain permanently tied to the job record. This control maintains data integrity and ensures required documentation cannot be altered or lost during the work order lifecycle.

Store PDF copies of the technical manuals with expiration dates and remarks. Manuals can be associated with one or more part numbers for easy application to the jobs. Signals indicate whether the manuals against the job are expired, and safety measures are in place to prevent the closure of a job that has an expired manual.

Record detailed control data for technical manuals stored in the system with fields for revision number, revision date, effective date, and expiration date. By keeping these attributes tied to the manual record, the system can alert you if manuals have expired when before closing the job or turning inventory in.

While other systems stop at role-based user permissions, Vista-Suite Enterprise adds flexible quality control. Locking Internal Notes helps protect critical information from miscommunication or misunderstanding on a per-note basis, in addition to typical role-based user permissions. In this case, only the user who locked the Note or users with admin privileges can edit or delete Locked Notes. Note Locking can be applied to Internal Notes within a Work Order Header and in Tasks.

Productivity and Automation

When using job templates, users have the flexibility to apply the entire template or only selected portions. During work order setup, predefined tasks, BOM lines, or labor plans can be pulled in selectively, tailoring the job structure without starting from scratch.

When jobs are created, the associated manuals can filter into the work order, giving technicians access to the correct documentation. This linkage reduces manual searching and keeps each job tied to the manuals required for the parts involved.

A complete audit log is maintained for each work order, recording every modification made to the job. Changes to statuses, tasks, labor entries, BOM lines, or notes are time-stamped and tied to the user who performed them. These logs create a detailed history of the work order, providing full accountability and traceability across the entire job lifecycle.

Build reusable templates for any type of job, from component repair to full projects. Templates can include predefined tasks, Bill of Materials, labor estimates, and required manuals. When applied to a new work order, the system can populate the job with the template structure, reducing setup time and keeping processes consistent across similar projects.

Eight action dates are provided on each work order. These dates are recorded at the header level and help manage the job timeline commitments. Examples include receipt date, completed by, quote date, job start date, etc.. Each milestone is stored in the record to create a clear timeline of planned and actual events that can be referenced throughout the repair or production process.

Standard dashboards are embedded within core modules, giving users live visibility into work order progress, labor activity, inventory status, and financial metrics without leaving the workflow. These dashboards pull directly from transactional data, presenting charts, tables, and KPIs. By placing analytics inside the same screens where work is performed, users can monitor performance and act on insights sooner.

Four distinct kanban boards are provided that visualize different stages of shop activity and production. Work orders, tasks, materials, and logistics documents can be displayed as cards and moved across status columns, giving teams a live view of progress. This layout helps production staff and managers quickly identify bottlenecks, reassign work, and keep jobs moving through the repair process in an organized, trackable flow.

When a job is marked as warranty work, the system applies a visible indicator that distinguishes it from standard billable activity. Approved or Denied toggles show whether warranty coverage has been authorized or is still pending. These signals make it easy for production and management to track warranty claims, prevent incorrect billing, and keep approvals visible throughout the workflow.

Work order Kanban boards include shop activity, work orders by primary status, work orders by secondary status, work orders by due date (aging board), and worker task assignment. Each Kanban board has unique characteristics for different purposes and features banner images, cost recaps, drag and drop, and shortcut actions to make management of your shop floor processes quick and easy.

When a work order is tied to a customer quote, sales order, or invoice, the related documents, such as travelers, estimates, certifications, or summaries, can be printed from within those linked records. This integration keeps document output consistent across modules and reduces the need to navigate back to the work order to produce paperwork.

From the task screen, job cards and task cards can be produced with current task details, labor requirements, and BOM lines, while labels can be printed for parts, assemblies, or for administrative purposes. This direct print capability ties physical documents and identifiers to the exact task where they are needed, keeping paperwork and labeling synchronized with the digital work order record.

Users can search technical manuals based on the parts they are linked to. Entering a part number retrieves all manuals associated with that component, including revision and effective date details. This capability makes it easy to locate the correct documentation for a part without navigating through work orders, keeping reference material accessible from a single search.

Vista-Suite Enterprise allows job templates to be searched and retrieved based on the parts they reference. By entering a part number, users can quickly locate templates that are associated with that component. This makes it faster to apply the right template during work order creation, aligning job setup with the specific parts involved.

The shop activity Kanban board gives managers visibility of worker activity, billable status, and associated jobs being worked.

Technical manuals attached to a work order have a prominent indication of the publication's expiration status (current = green or expired = red). Safety constraints are built in to prevent the closing of a job if the manuals attached are expired.

Search tools in Vista-Suite Enterprise allow users to quickly filter tasks and Bill of Materials lines within a work order. Criteria such as status, part number, description, or assignment can be applied to instantly narrow results, making it easy to locate specific records in large or complex jobs. These targeted searches simplify data retrieval and provide clear visibility for analysis without requiring manual review of every entry.

At the job header, users can view linked documents such as customer quotes, sales orders, or logistics records. At the Bill of Materials level, individual parts can be tied to purchase orders, repair orders, vendor quotes, or sub work orders. This linkage keeps every supporting transaction connected to the correct job or component, creating a complete chain of documents for reference and traceability.

Technicians or production staff can update completion percentage directly on the task as work advances to give supervisors real-time visibility into how far a job has progressed.

Work Orders can be identified as warranty jobs and toggled as approved or denied. Signals give clear visibility of warrantied jobs and approval status. Work order history is displayed by part or even serial number to easily identify the original work order the unit was on.

Unlike other systems, Vista-Suite Enterprise allows you to create templates that represent all of he critical work order elements, enhancing the benefit of reusable templates for common, recurring jobs. Templates can be associated with one or more part numbers for automatic filtering, and the entire template, or portions of a template, can be used in any job.

User Experience and Customization

The List View provides a compact grid for quick scanning of several fields at once. The Expanded View, or Tablet view, shows detailed task information and can detect tablet displays. The Kanban View displays tasks as cards arranged by status, allowing drag-and-drop updates to track workflow visually. These options let users choose the layout that fits their role and work style.

A banner image can be attached to a work order, displaying the main component, for example, at the top of the job record and is visible on Kanban cards. The capture of the banner image is quick and easy with the mobile application, too. This image provides immediate recognition of the Part, Aircraft, or Main Component under repair or overhaul, helping technicians, inspectors, and production staff quickly identify the correct job without relying solely on text fields.

These links can point to shared documents or directly to Vista-Suite Enterprise record links, as well as to external references such as manufacturer manuals, regulatory databases, or customer portals. Storing these links within the task record gives technicians and inspectors immediate access to supporting information from the system, without leaving the work order environment.
